A tour of the candidate record

What each part of the candidate record shows, from the stage stepper and checklists to notes, files and messages.

The candidate record opens when you click a card on a job's board, or a person on Home. It shows one person's application for one job. Opened from My Community, it shows the person instead, with no application in view.

The header

The header shows their name, where they came from and their discipline and location. When no city is on file, the location is the city of their ZIP code. If the application is closed, a label says how, for example Rejected with the reason.

The stage stepper

Under Pipeline stage you see every stage of the job's workflow, with their current stage highlighted. Click any stage to move them there, forward or back. Moving to the Hired stage opens the hire review first. Once an application is closed, the stepper can't be clicked.

The left side

  • Contact: their email, phone and Home address, or their Location when no address is on file. Locked means they haven't shared their contact details with you yet. See Hidden contact details.
  • Tags: labels on this application. My Community shows the tags from all of a person's applications.
  • Checklists: the steps for each stage. The current and next stage show first; click Show all … stages to see the rest. See Stage checklists and documents.
  • Application: the source and how long they have been in this stage.

The tabs

  • Overview is the quick read on the person, top to bottom:
    • Ready for and the next stage's name: the current stage's required steps, any required details still missing, and whether contact is shared.
    • The latest message, and whether they're waiting on you. Looking at it here doesn't mark a reply as read. Only opening Messages does.
    • What they told us: answers that screened them out or tagged them, then the first few answers on the form. See all answers opens the Application tab.
    • History and fit: their other applications with your agency, your team's latest note, and highlights from their CareCommunity profile if they've shared it.
    • Details at the bottom holds your agency's custom fields. See Candidate custom fields.
  • Application shows the questions on the job's application form and what they answered, in order. It flags an answer that screened them out, and hides sensitive answers from roles that can't see them. See Application forms.
  • Notes holds your team's notes about the person, from every job they've been on. Everyone on your team can read them.
  • CareCommunity shows the profile they share with your agency: experience, languages, their weekly availability grid (the same one you see on Broader community cards), credentials and résumé. If they haven't shared one, it says so.
  • Messages is the text and email conversation for this application.
  • Files holds the person's résumés, certifications and other documents. Files stay with the person across jobs.
  • Activity is a timeline of stage moves, messages, checklist steps and more, including events from their other applications.

Opened from My Community, the record has CareCommunity, Applications (every job they have been on), Notes, Files and Activity tabs, plus an Add to a job button.

Note: What you can change depends on your role. Owners, admins and recruiters can move, reject, message and edit by default. Viewers can read the record. If a button is missing, ask your agency owner.
