Using the pipeline board

Each job's pipeline board shows its candidates in columns by stage. Search, filter and sort the cards, drag or select people to move them, and step through a column from the record.

Every job has a pipeline board on its Pipeline tab. Each column is a stage from the job's workflow, in order, with a count of the people in it. Each card is one candidate on this job.

What a card shows

  • Their initials, name, discipline and city. Blue initials mean they came from your CareCommunity network.

  • Up to three flags, most urgent first:

    • Do not contact when the person is marked do not contact in My Community.
    • New reply (or a number of new replies) when they have messaged you and nobody has read it yet.
    • Idle with a time, and an orange border, when they have sat in the stage too long.
    • Applied before when they have applied to your agency before, on any job.
    • Their tags, such as Weekends only or Has own car, whether your team added them or the application form did.

    When there are more, a + count shows how many more. Point at it to see them.

  • Along the bottom: where they came from (such as Community, Job board, Indeed, Paid ad, Added by hand or Imported) and when they applied, for example "Applied 2d ago".

Click a card to open the candidate record. Previous and Next at the bottom of the record step through the column you opened it from, in the order the board shows. Rejecting someone takes you to the next person.

Finding people in a long column

Each column scrolls on its own, and its header stays in view. A long column shows 40 cards at a time; click Show more at the bottom for the rest.

Above the board:

  • Search by name, discipline or city.
  • New reply and Applied before show only people with that flag. Click again to turn it off.
  • Tag and Source show only people with one tag, or from one source. They appear when the job's candidates have tags, or come from more than one place.
  • Sort orders every column: Newest first (by applied date, the default), Oldest first, or Longest in stage.

While a search or filter is on, each column reads "12 of 68" and Clear turns everything off.

Moving someone to another stage

  1. Drag the card onto another column. The column outlines in blue as you drag over it.
  2. Let go. A message confirms the move, for example "Maria moved to Interview".
  3. If you moved the wrong person, click Undo in that message. It stays for a few seconds.

You can also move people from the candidate record: click a stage in the stepper, or click Advance to and the next stage's name.

Moving or rejecting several people at once

  1. Point at a card and tick the box that replaces their initials. To pick a run of cards, tick one, then hold Shift and tick another in the same column. All in a column's header ticks everyone in it.
  2. A bar appears at the bottom of the screen with how many you picked.
  3. Click Move to… and pick a stage, or Reject… to reject them all with one reason. See Rejecting or screening out a candidate.

A message confirms the move, with Undo for a few seconds. If anyone can't move, they stay ticked so you can open them and check. Hired isn't offered here: each hire goes through its own review.

Dragging someone onto the Hired column doesn't move them straight away. It opens a hire review first. See Hiring a candidate.

Note: Owners, admins and recruiters can move candidates. Viewers see the board but can't drag cards. If you can't move people, ask your agency owner.

Filtering the board

Use the chips at the top of the Pipeline tab. Each one shows a count.

A person counts as idle once they have been in the same stage for the stage's idle limit. The limit is set by the workflow and is 5 days if the workflow doesn't set one. A live job with idle candidates shows Needs attention in its header.

Getting someone out of Rejected or Screened out

Rejected & withdrawn and Screened out are lists, not columns. To bring someone back:

  1. Click the Rejected & withdrawn or Screened out chip.
  2. Click Put back next to the person.

They return to the job's first stage and you see "Candidate put back into the pipeline". Owners, admins and recruiters can do this by default.
