Application forms

Write the questions applicants answer when they apply, screen people out or tag them by their answers, and pick a form for each job.

An application form is a set of questions applicants answer while they apply, such as "Do you have reliable transportation?". On a question with set answers, you can screen out anyone who gives certain answers, or tag people by what they chose. Write a form once in Settings, then pick it on any job that should ask it.

Owners and admins write forms in Settings → Application forms, because it needs the Manage settings permission. Anyone who can create and edit jobs can pick a form for a job. If you don't see these, ask your agency owner.

Create or edit a form

  1. Open Settings → Application forms. The list shows each form's questions, rules and how many jobs use it.
  2. Click New form, or a form's name to edit it. The editor says how many jobs use the form.
  3. Type a Form name, then write each question and pick its answer type.
  4. Turn Required off to make a question optional, or on again.
  5. Click Add a question for each one, or Add a section heading to split the form into parts. Drag a question by its handle to change the order applicants see, or open its ⋯ menu and click Move up or Move down. Remove question is in the same menu.
  6. Click Save form (or Save changes) in the bar at the bottom of the screen.

Until the form can be saved, the bar lists what's Still to do, such as naming the form or adding answers. Click an item to go straight to it. If you leave with unsaved changes, you're asked whether to keep editing or discard them.

Saving updates every job that uses the form within a minute. A form a job uses can't be deleted; pick another form on those jobs first. Clicking the delete button on a form in use says how many jobs use it.

Question types

  • Yes / no, Pick one and Pick any: the applicant chooses from set answers. Pick one and Pick any need at least two answers, with no blanks or repeats.
  • Short answer, Long answer and Date: the applicant types or picks a date.
  • Employment history and Education history.
  • Section heading: a title that splits the form into parts, added with Add a section heading. Headings aren't numbered or counted as questions.

Only Yes / no, Pick one and Pick any questions can have rules.

Screen people out or tag them

On those questions, each answer has a Screen out button:

  1. Click Screen out next to each answer that should screen people out. It changes to Screens out. You can't mark every answer, because that would screen out everyone.
  2. Under the answers, a line says who moves to Screened out. On a Pick any question, picking any marked answer screens someone out, even if they picked other answers too.
  3. If the question is optional, people who skip it aren't screened out. Click Make it required to close that gap.

To tag people, click Tag people by their answer:

  1. Under Who gets tagged, choose Only people who answer one answer, or (on Pick one and Pick any) Everyone who answers, tagged with their answer.
  2. Type tags in Tags to add, separated by commas. With one answer chosen and no tags typed, they're tagged with that answer. With Everyone who answers, tags you type are added to everyone who answers the question, whatever they chose.
  3. The line below shows what each answer adds, for example Yes → "has car" and No → no tag.

Click Stop tagging to remove the tag rule.

Use a form on a job

Open the job, click the Settings tab and choose a form under Questions in the Application form card. It saves straight away. Click the question count to see the questions and rules, such as Screens out: No or Tags "Bilingual" when they answer "English and Spanish", or Edit this form to change it. Before the job is posted, it says "Applicants see these questions once the job is posted." See Job settings.

Require an address on applications

At the top of Settings → Application forms, turn on Require an address on applications to make applicants give their street address, city, state and ZIP code. It applies on your career page, when people apply or join your talent community, and on the CareCommunity job board. Apt, suite or unit stays optional. With the switch off, only the ZIP code is required.

Note: HiringThing's own Require Address setting can't be changed from here. For applications that start on Indeed and other boards through HiringThing, switch on Require Address in HiringThing too.

What happens when someone applies

Applicants answer the form wherever they apply: on your career page, on the CareCommunity job board, or on HiringThing's own apply page. On your career page and the job board they can't send the application until every required question is answered.

Rules run once, on each new application as it arrives.

  • Anyone whose answer matches a screen-out rule moves to Screened out on the job. They're never told.
  • Tags from the rules join the applicant's other tags.
  • Both are recorded in the person's Activity tab.

Rules apply to new applications only. Changing a form never reaches back over people already in the pipeline, and opening a record never runs the rules. To put someone back, click the Screened out chip on the job, then Put back on their row. They land in the job's first stage.

Read someone's answers

Open the candidate's record and click the Application tab. It lists every question and their answer in form order, and flags an answer that screened them out.

  • Sensitive answers, such as SSN, date of birth or gender, are hidden unless your role has See sensitive fields.
  • ID numbers show only the last four even then. Click Show to see the full number. That's recorded in the Activity tab.

Answers given on your career page or the job board are also copied to the applicant in HiringThing. Employment and education history arrive there as plain text.
