Rejecting or screening out a candidate
How to reject someone, how an application answer screens someone out, how to put people back, and what stays in My Community.
When a candidate isn't right for a job, your team rejects them. The application closes without a hire, but the person stays in your community, and you can put them back into the pipeline later. Rejected candidates move to Rejected & withdrawn on the board, and the candidate isn't told.
Rejecting a candidate
- Open the candidate's record.
- Click the red button with the person icon in the header, next to Advance to.
- Pick a reason: Schedule didn't fit, Pay expectations too far apart, Credentials lapsed or missing, Too far to commute, Another candidate was chosen, Went unresponsive or Something else.
- Add a note if it would help next time, for example "Great fit for weekends only".
- If your agency shouldn't hire them again, turn on Also add to do-not-hire list. See The do-not-hire list.
- Click Reject & return to community (or Reject & add to do-not-hire list).
You see "Candidate rejected · returned to your community". If you opened the record from the board or the Home queue, the next person opens; otherwise the record closes. The Activity tab shows "Marked rejected" with the reason and note.
Rejecting several people at once
- On the job's board, tick the people you want to reject. See Using the pipeline board.
- Click Reject… in the bar at the bottom of the screen.
- Pick one reason for all of them. Nothing is picked for you, so the reason is always a choice. Add a note if it helps.
- Click Reject and the number of candidates.
Each of them moves to Rejected & withdrawn with the same reason and note.
Note: Owners, admins and recruiters can reject and put people back by default. If you don't see the reject button, ask your agency owner.
What the candidate sees
The app doesn't tell them. Rejected candidates get no message from the app, and automatic messages stop because they only go to active candidates.
Once an application is closed, you can't write to them about that job. The Messages tab asks you to reopen the application first.
Screened out by an application answer
A job's application form can have rules on its questions, such as "screen out anyone who answers No to having a car". When a new application matches one, the person moves straight to Screened out on the job. Nobody on your team decides it, and the candidate isn't told. See Application forms.
How it differs from rejecting:
- Rejecting is a choice your team makes, with a reason you pick. Screening out happens automatically when the application arrives.
- Screened-out people have their own Screened out list on the job, apart from Rejected & withdrawn. Their record's header says Screened out · Failed a knockout question.
- Their Activity tab shows "Screened out by an application answer", with the question and their answer.
People on your do-not-hire list are screened out too, with the reason On the do-not-hire list. They can't be put back until they're taken off the list.
Putting someone back
- On the job's board, click Rejected & withdrawn or Screened out at the top of the Pipeline tab.
- Click Put back next to the person.
They go back into the job's first stage, active again. Their Activity tab shows "Reopened", and the earlier rejection or screen-out stays in the history.
What stays in My Community
- They stay in your community.
- If this was their most recent application and they have no other active ones, My Community shows them as Not hired.
- The reason and note are private to your agency. They never appear on the person's shared CareCommunity profile.
- Rejection reasons feed Why candidates drop off on your hiring dashboard.
