The do-not-hire list
Mark someone your agency should not hire again, so no one adds them to a job by mistake.
Sometimes your agency decides not to hire a person again. Put them on your do-not-hire list so the whole team knows, and so no one adds them to a job by mistake. The list is private to your agency. The person is never told, and other agencies never see it.
Add someone to the list
- Open the person's record. You can open it from My Community, or from their card on any job's pipeline.
- In the left column, click Add to do-not-hire list.
- Add a Reason (optional). Only your team sees it.
- Click Add to do-not-hire list.
A red Do not hire label appears on their record and on their row in My Community. The change is saved to their Activity tab.
By default, owners, admins and recruiters can add and remove people. If you don't see the link, ask your agency owner.
Add someone while rejecting them
When you reject a candidate, the reject window has an Also add to do-not-hire list switch. Turn it on, then click Reject & add to do-not-hire list. The rejection keeps the reason you picked, and your note (or the reason, if you left no note) is saved as why they're on the list.
What the list does
When you add someone, they're screened out of every job they're in a pipeline for. Their record on each job says Screened out · On the do-not-hire list. Applications that are already closed, such as hired or rejected, keep their outcome.
While someone is on the list:
- No one can add them to a job. Add to a job on their record shows a warning instead. So does Add applicant on a job if you type their email address.
- Their applications are screened out. If they apply to one of your jobs on their own, the application comes in already screened out, and no automatic message goes to them.
- They can't be put back. Put back on a screened-out application says they're on the list.
- Sourcing leaves them out. They don't appear in a job's Sourcing → My Community matches.
See everyone on the list
Go to My Community and click the Do not hire filter. Turn on Archived to include archived people too.
Take someone off the list
- Open the person's record.
- In the Do not hire box in the left column, click Take off the list.
You can add them to jobs again straight away, and they show up in Sourcing again. Applications that were screened out stay screened out; use Put back on the job if you want one back in the pipeline.
