Texting and emailing candidates

Send texts and emails from a candidate's Messages tab, and see their replies in the same conversation.

Every application has its own conversation. Open a candidate from a job's pipeline and go to the Messages tab to see everything you and your team have sent about that role, and everything they sent back. Texts and emails share the same conversation.

There is no separate conversation for a person outside a job. When you open someone from My Community, their record has no Messages tab. To write to them, add them to a job first, then message them from that application.

Owners, admins and recruiters can send messages. Viewers can read the conversation but can't write. If you don't see the message box, ask your agency owner.

Send a message

  1. Open the candidate from the job's pipeline and click Messages.
  2. Choose Text or Email. If the candidate opted in to texts, Text is picked for you.
  3. For the first email about this role, check the Subject. It starts as "About the [job] role". Later emails go out as a reply to that subject, so the candidate's inbox keeps them together.
  4. Write your message, or pick one from Use a text template or Use an email template.
  5. Click Send text or Send email.

Emails are sent from your agency's email address and signed with your name. Texts can be up to 1,600 characters, and the counter under the box shows how many you have used.

Note: A text is only offered if the candidate chose texts on their application (or, for someone you added from your community, opted in to texts on their CareCommunity profile). Texting is included with the Platinum plan. When Text is greyed out, the reason is shown next to it.

Replies

Whether the candidate replies by email or by text, the reply lands in this conversation. The tab checks for new messages while it's open. Files attached to an email reply are saved to the candidate's Files tab.

Messages on the candidate's other applications aren't mixed in. The tab tells you how many there are, for example "2 other messages with Maria on other roles."

Unread replies

A new reply shows as New reply on the pipeline card, as a dot on the person in My Community, under Replied on Home, and in your notifications. Opening the Messages tab marks the reply as read. The New reply marker clears for your whole team, not just for you.

Delivery status

Under each message you send you'll see Sending, Sent, Delivered or Not delivered. A message that wasn't delivered says why, for example "the email bounced" or "they opted out of texts".

When you can't send

  • This application is closed. Reopen it to write about this role.
  • Setting up messaging for this application. A new application usually takes under a minute.
  • No email or phone on file, or the candidate opted out. See Opt-outs and do not contact.
