Adding an applicant to a job
Type in someone who applied outside your job boards, such as at a job fair or by phone, and they join the job's pipeline as an applicant.
Not everyone applies online. When someone hands you a résumé at a job fair, walks in, or calls about a job, you can add them to that job yourself. They are treated like anyone who applied.
Add an applicant
- Open the job and stay on the Pipeline tab.
- Click Add applicant, on the right above the board.
- Fill in First name, Last name and Email address. These three are required.
- Add a Phone number, Street address, Apt, suite or unit, City, State and ZIP code if you have them. A street address also needs the city, state and ZIP.
- Under Source, type where they came from, for example "Job fair" or "Referral from Maria".
- Under Contact preference, choose Email or Text. It starts on Email.
- Click Add applicant.
They go into the job's first stage. Their card says Added by hand, and their record shows the source you typed, for example Added by hand · Job fair.
Owners, admins and recruiters can add applicants. If you don't see Add applicant, ask your agency owner. The button only shows once the job has a pipeline.
What happens next
Because this counts as an application, the job's workflow runs as it does for anyone who applies:
- The workflow's Application received message goes out, if it has one.
- Your teammates get a new application notification as usual. You are not notified about people you add yourself.
Choosing Text
Text means you can text them about this job, so it needs two things:
- A phone number.
- Ticking They agreed to get texts from us about this job. Only tick it if they told you so. Your agency keeps a record of who confirmed it and when.
They can reply STOP at any time. If your plan doesn't include texts, they are emailed instead.
If they are already on CareCommunity
If the email address belongs to someone who already has a CareCommunity profile, they are added as that person, not as a duplicate. Your team sees the details you typed. Their own profile stays private until they agree to share it with you. See Profile sharing and consent.
If someone with that email is already in this job's pipeline, you'll see a message saying so. Open their card instead.
If the email belongs to someone on your do-not-hire list, a warning says so and they aren't added.
