Hiring a candidate
Moving someone to the Hired stage opens a short review of their checklist, then closes their application and keeps them in your community.
Every workflow has one Hired stage. Moving someone there is the hire, and it closes their application for this job. So the app asks you to review their checklist first instead of moving them straight away.
Starting a hire
Any of these opens the hire review:
- Drag their card onto the Hired column on the job's board.
- In their record, click the Hired stage in the stage stepper.
- In their record, click Advance to Hired when Hired is their next stage. The button uses your stage's name.
Note: Owners, admins and recruiters can hire by default. If you can't move candidates, ask your agency owner.
Reviewing and confirming
The review is titled Hire and their name, and says which job it's for. It then shows one of these:
- Every required step is checked, with how many checklist steps are done across the whole pipeline.
- A warning such as 2 required steps aren't checked, with those steps listed under their stage.
- "This job's workflow has no checklist steps to review."
Nothing has to be complete before you hire. Open required steps are a reminder, not a block. If a step was done but never ticked, for example an I-9 done on paper, tick it right there in the review.
- Tick any steps that are already done.
- Click Mark as hired. If required steps are still open, the button says Hire anyway.
- Click Cancel instead if you want to check the record first.
If the checklist doesn't load, the review says so and you can still hire them.
What happens after the hire
The review changes to say they are hired, and that they stay in your community for the next job. Click Done.
- Their card stays in the Hired column with a green Hired label. It can't be dragged to another stage, and it never shows as idle.
- Their record shows Hired. The stage stepper can't be clicked, and the Advance to and reject buttons are gone.
- The Activity tab shows the move to Hired and "Marked hired".
- In My Community they show under the Previously hired filter, ready to be added to another job.
- The hire counts on your hiring dashboard in Analytics.
Hiring someone doesn't close the job. When all your openings are filled, close the job yourself. See Editing, pausing and closing jobs.
Important: There's no undo for a hire on the board or in the record. If you hired the wrong person, contact support.
