Importing people
Bring caregivers you already know into My Community from a CSV spreadsheet.
If you keep a list of caregivers outside the ATS, such as past staff or people from a hiring event, you can import it into My Community. Owners and admins can import by default. If you don't see Import people, ask your agency owner.
Prepare your file
- Save it as a .csv file. In Excel or Google Sheets, use File → Download or Save as → CSV.
- Put column names in the first row and one person per row after that.
- Up to 5,000 people and 10 MB per file. Split bigger lists into several files.
- Only a name is required: a full name column, or first and last name columns.
Click Download a template in the import window for a ready-made example.
Import your file
- Go to My Community and click Import people.
- Drop your CSV into the window, or click to choose it.
- Under Match your columns, check which of your columns feeds each field: Full name, First name, Last name, Email, Phone, Discipline and Note. Columns are guessed from their names. Choose Don't import to skip a field.
- Check the summary. It shows how many people are ready and how many rows will be left out.
- Click Import. Keep the window open until it finishes.
A Full name is split into first and last name at the last space. A Note is saved as a private note for your team.
Rows that are left out
A row is left out if it has:
- No name
- an Email that doesn't look right
- the Same email or phone as an earlier row in the file
When the import finishes, click Download rows not imported to get those rows back with the reason for each.
Duplicates
You won't get duplicate people:
- Added: people new to CareCommunity.
- Linked: people already on CareCommunity, matched by email or phone.
- Already yours: people already in your community. For them, the file only fills in blank details. It never overwrites what you have.
If an import stops part way, everyone counted is already in. Importing the same file again is safe.
What imported people see
- Your team sends them nothing. Your import doesn't make anyone visible to other agencies.
- If someone in your file already has their own CareCommunity profile, you only see what your file contained. CareCommunity, not your agency, may ask them by email or text whether to share their full profile with you. See Profile sharing and consent.
- An import doesn't opt anyone in to texts. When you add them to a job, you can email them. You can text them only if they have opted in to texts on CareCommunity and your plan includes texting.
