Candidate custom fields
Where your agency's application fields come from, and how to fill them in on a candidate's record.
Custom fields are the extra details your agency collects on every application, such as certifications, availability or start date. Every job uses the same set. The answers belong to one application, so two applications from the same person each have their own answers.
Where the fields come from
CareCommunity sets up your agency's application fields for you. You can't add, remove or rename fields in the ATS. If a field needs to change, contact support.
Answers the applicant gave when they applied appear automatically. The latest answers load each time you open the record.
If your agency has no fields set up yet, you see No custom fields configured.
Find the fields
- Open the candidate from a job's pipeline.
- On the Overview tab, click Details at the bottom to open it.
The Details heading shows how many fields there are and how many required ones are still empty. The Required details row above it lists what's missing. Click Fill in to jump straight to the fields.
Details is only on a candidate opened from a job. A person opened from My Community has no Overview tab.
Fill in or change a value
You don't need to press Save. Each field saves on its own:
- Text and number fields save when you click or tab out of them.
- Dropdowns, dates and Yes / No choices save as soon as you pick one.
Under the field you see Saving…, then Saved. If a save fails, the field keeps the message Not saved and shows Try again. Your typed value stays in place until you retry, so nothing is lost without you knowing.
A field marked Required still needs an answer. The marker disappears once it is filled in. Required fields don't block you from moving a candidate. They show you what's still open.
Sensitive fields
Fields such as SSN, date of birth and gender are sensitive. Only roles with See sensitive fields can see or edit them. Owners and admins have it by default. For everyone else these fields show Restricted for your role.
ID numbers such as an SSN show only the last four digits, even to people who can see them:
- Click the eye to show the full number for 30 seconds. Each time someone does this, it's recorded on the candidate's Activity tab.
- Click Replace to enter a new number without seeing the old one.
Who can edit
Editing values needs the Edit notes and fields permission. Owners, admins and recruiters have it by default. Without it, you see every field you're allowed to see, but read-only. If you need to edit, ask your agency owner.
