Applicant statuses
Your agency's one list of stages. Workflows pick from it, so a stage looks and behaves the same on every board.
Applicant statuses are the stages your workflows are built from. You keep one list for the whole agency in Settings → Applicant statuses. Owners and admins can change it. If you don't see it, ask your agency owner.
Statuses and stages
A status is a name, a category and a colour, such as "Interview". A stage is a status placed in a workflow. The workflow adds the stage's place on the board, its checklist, its required documents and its automatic messages.
So "Interview" looks and behaves the same on every board, and renaming it here renames it everywhere it's used. A workflow can use each status once.
Note: Rejected, withdrawn and screened out are outcomes, not statuses, so they aren't on this list.
Categories
The category decides how a stage behaves and how it's counted:

| Screening | Counts toward Screened on your hiring dashboard. |
| Interview | Counts toward Interviewed on your hiring dashboard. |
| Offer | Counts toward Offer on your hiring dashboard. |
| Hired | Moving someone here opens the hire review and closes their application. Every workflow has exactly one. |
| Other | A step of your own, with no built-in behaviour. |
Add a status
- Type a name in the new status box, for example "References checked".
- Pick its category.
- Click Add status.
You can also add one from the workflow editor. Choose New status… in a stage's status list.
Edit, reorder or remove
- Edit: click the pencil to change the name, category or colour. Click the colour square to cycle through colours. Then click Save.
- Reorder: drag a status, or use the arrows. The workflow editor offers statuses in this order.
- Remove: click the bin. A status that has been used before moves to Archived, where Restore brings it back.
While a workflow uses a status, two changes are blocked:
- You can't remove it. Swap it out of those workflows first.
- You can't move it into or out of the Hired category.
Any other change reaches every job on those workflows at once.
Statuses you won't see here
If your agency sends documents or syncs candidates to your EMR through CareConnect, a few status names are kept for that and managed for you: Documents Sent, send documents, Documents Complete, Promote to Candidate, Error and Archived - Error. They aren't on this list and can't be stages. Use Send to on the candidate record instead. See Sending documents and syncing to your EMR.
